Duration: 6-month contract (40 hours/week; 960 total hours)

Overview
The Document Custodian – Vault Analyst is responsible for the secure handling, organization, and custodianship of sensitive physical documents maintained within a controlled vault environment. This role supports bank operations by ensuring documents are accurately stored, retrieved, tracked, and safeguarded in accordance with M&T Bank policies, regulatory requirements, and internal control standards.
This position requires physical stamina, strong attention to detail, and excellent organizational skills, along with the ability to work reliably in a secure onsite environment.
Key Responsibilities
- Receive, sort, organize, store, and retrieve physical documents within a secure vault setting.
- Maintain accurate tracking logs and inventories for documents entering and exiting the vault.
- Ensure all documents are handled in compliance with bank security, privacy, and regulatory standards.
- Perform periodic inventory checks and reconciliations to ensure document accuracy and completeness.
- Support internal audits, reviews, and document requests as required.
- Maintain organization and cleanliness of vault storage areas.
- Follow established procedures for document retention, access controls, and chain-of-custody requirements.
- Communicate effectively with internal teams regarding document status and retrieval requests.
- Complete additional related duties as assigned.
Scope of Responsibilities
This role operates onsite in a secure vault environment and interacts with internal bank personnel to support document custody and records management needs. Strict adherence to internal controls and security procedures is required at all times.
Required Qualifications
- High school diploma or equivalent; additional education or experience in document handling or records management is helpful.
- Ability to lift and carry 30–40 pounds on a regular basis.
- Ability to stand for extended periods of time throughout the workday.
- Strong attention to detail and organizational skills.
- Ability to follow detailed procedures and security protocols consistently.
- Reliable and dependable attendance with the ability to work scheduled onsite hours.
Preferred Qualifications
- Prior experience in document custody, vault operations, records management, or banking operations.
- Experience working in secure or regulated environments.
- Familiarity with inventory tracking or document management processes.
