Location: Buffalo, NY
Duration: 8-9 months with possibility of hire
Engagement Type: W-2 only. No sponsorships, Corp-to-Corp, or 1099 arrangements permitted.
Overview:
The Document Custodian Vault Analyst supports the clients centralized vault operations, responsible for managing, organizing, and maintaining physical and electronic collateral files. This role plays a key part in ensuring that all documents received are accurately scanned, bar-coded, filed, and retrievable in accordance with regulatory and operational standards.
The team processes between 2,000 and 3,000 items daily and consists of a mix of permanent staff and contractors. Due to the high-volume and sensitive nature of the work, accuracy, consistency, and adherence to established processes are critical.
Key Responsibilities:
- Receive, handle, and file physical collateral files received daily from various sources.
- Use scanners and proprietary software to read and track barcodes for document intake and filing.
- Maintain accurate logs, chain of custody, and filing integrity across all handled materials.
- Perform daily quality control checks to ensure documents are scanned and indexed correctly.
- Support audit readiness by maintaining orderly and traceable file structures.
- Collaborate closely with team members to meet daily throughput goals in a high-volume environment.
- Follow standardized procedures and compliance protocols for document handling and secure storage.
- Provide general operational support and assist in identifying process improvement opportunities.
Required Qualifications:
- High school diploma or equivalent.
- Experience working in an inventory, warehouse, or file room environment with structured, repetitive tasks.
- Comfortable using laptops, scanners, and related software applications.
- Strong attention to detail and organizational skills.
- Self-motivated team player with a commitment to accuracy and reliability.
Preferred Qualifications:
- Prior experience in document custody, records management, or loan servicing environment.
- Familiarity with high-volume document processing workflows or banking operations.
- Strong work ethic and dependability in a structured team setting.
